Montessori Elite Group of Institutions ("we", "our", or "us") operates the Montessori Elite Group of Institutions ERP mobile and web application (the "Application"). This Privacy Policy describes how we collect, use, store, process, and protect personal and institutional data when administrators, teachers, staff, students, and parents use our Application.

1. Account & User Profile Information

   • Full name, role/designation (Staff, Teacher, Administrator, Student, Parent), employee ID, student admission number, class, section, assigned branch/campus, email address, and encrypted authentication credentials.

2. Student & Academic Records

   • Daily classroom attendance, biometric/RFID attendance logs, hostel attendance, study-hours attendance, homework assignments, examination schedules, question papers, scanned student answer sheets (PDF/images), and academic evaluation marks/grades.

3. Parent & Guardian Contact Information

   • Father's and mother's names, mobile phone numbers, residential addresses, and admission enquiry records provided to the institution for official academic and attendance communication.

4. Device Permissions & Media Access

   • Microphone Permission (Optional): Used solely by authorized school telecalling and admission counselling staff when placing or receiving parent communication calls through the in-app softphone dialer.

   • Camera & File/Storage Access (Optional): Used to upload or scan question papers, student answer-sheet PDFs/images, homework attachments, and visitor/student gate-pass photographs.

5. Technical & Audit Logs

   • IP address, device/browser metadata, login timestamps, and role-based security audit logs required for institutional compliance and data security.

2. How We Use Your Information

We use the collected data strictly for educational and institutional administration purposes, including:

• Managing student enrollment, class and section allocation, and academic progression across branches.

• Recording daily classroom, biometric, hostel, and study-hours attendance and dispatching official SMS/WhatsApp attendance alerts to parents.

• Facilitating parent-school communication, absent-student welfare follow-up calls, and admission enquiry counselling by authorized staff.

• Conducting examinations, performing AI-assisted criterion-wise answer-sheet evaluation with mandatory teacher verification, and generating student report cards.

• Managing campus safety via Watchmen Gate Entry, Visitor Passes, Student Gate Passes, and Sickroom health records.

3. Data Sharing & Third-Party Service Providers

We never sell, rent, or trade personal data of students, parents, or staff to advertisers or unauthorized third parties. Data is shared only with essential cloud and communication infrastructure providers strictly necessary to operate the ERP:

• Cloud Database & Storage (Supabase PostgreSQL & Google Cloud Storage): Used for encrypted, branch-isolated storage of institutional records and uploaded examination PDFs.

• AI Evaluation Engine (Google Cloud Vertex AI / Gemini API): Scanned student answer sheets and approved marking rubrics uploaded by authorized staff are processed to assist teachers with step-wise academic grading.

• SMS & Cloud Telephony Gateways (Authorized DLT SMS Gateways & Acefone Voice APIs): Parent mobile numbers are transmitted solely to deliver official attendance alerts, exam notifications, and school support calls.

4. Children's Privacy & Parental Rights

Student profiles and academic records are created and managed exclusively by Montessori Elite Group of Institutions under institutional authority and parental consent obtained during admission. Parents and legal guardians have the right to review, update, or request correction of their child's information at any time by contacting the school administration.

5. Data Security & Retention

• Encryption in Transit & at Rest: All communications between the Application and our servers are encrypted over HTTPS/TLS (SSL).

• Access Control: Strict Role-Based Access Control (RBAC) and branch/academic-year isolation ensure staff can only access records authorized for their campus.

• Data Retention: Student and academic records are retained for the duration of enrollment and as mandated by applicable educational board regulations.

6. User Rights, Permission Revocation & Data Deletion Requests

• Users may revoke optional device permissions (such as Microphone, Camera, or Storage) at any time via their device settings.
